How We Built Our Own AI Workforce

Seven AI agents run Qartmina's prospecting, outreach, content and SEO. Here is what they do, what they deliver, and the time they give back every week.

About 25 hours of work a week handled by agents, for one hour of review a day

The challenge

Running a consulting firm means doing two jobs at once: delivering for clients and finding the next ones. Prospecting, follow-ups, LinkedIn posts, search optimization, research, notes. None of it is hard, but all of it takes time, and it is always the first thing to slip when client work gets busy.

We had a simple choice. Hire a small sales and marketing team, or build one.

We built one. And we decided to use ourselves as the first client, because we would never ask a client to trust a system we don't run ourselves.

What we built

A team of seven AI agents, each with one clear job, all sharing the same memory of who we are, what we sell and how we speak.

  • Chief of Staff. The single point of contact. Every morning it reviews everything and tells us the day's priorities in one short brief.
  • Scout. Finds and researches target companies and the decision makers inside them.
  • Closer. Drafts personal, localized outreach messages for each prospect, ready to send.
  • Voice. Writes LinkedIn content in our tone, so we show up every week without staring at a blank page.
  • SEO. Owns the search strategy for our website: what people search for, which topics to cover, which pages to improve.
  • Curator. Files every idea, note and decision, and brings old notes back when they become relevant.
  • Gig Scout. Watches for freelance projects that match what we do.

How it works, in one sentence

The agents do the repetitive thinking on a schedule, and we only see what needs a decision.

Every draft, message and post lands in one place for approval. Nothing is sent, published or spent without a yes from us, and that yes takes one tap from a phone. Every approval also teaches the system, so the drafts get closer to our voice week after week.

What it delivers

In a normal week, the workforce produces:

  • A daily priorities brief
  • Researched lists of target companies and contacts
  • Personalized outreach drafts, ready for approval
  • LinkedIn posts in our voice
  • A search strategy with keyword research and article plans for the website
  • A tidy, searchable record of every idea and decision

The result

We estimate the workforce handles around 25 hours of work every week, the equivalent of a part-time sales and marketing assistant. In exchange, we spend about one hour a day reviewing and approving.

That time goes back where it matters: client work, strategy and the conversations only a person can have.

The less visible gains matter just as much:

  • Consistency. Prospecting and content happen every week, even in the busiest ones.
  • One voice. Every message and post sounds like us, because every agent reads the same playbook.
  • Nothing gets lost. Ideas, contacts and decisions live in one place instead of in our heads.
  • Full control. People decide, agents prepare.

Why this matters for you

Most teams don't need five new hires and ten new tools. They need the repetitive work off their desks and a clear view of what needs their decision.

This is exactly what we build for clients: an AI workforce shaped around your sales, marketing or operations, with your voice, your rules and your approval on everything that matters.
